We collect only the data necessary for comprehensive tax, accounting, and compliance services. In addition to standard statutory data, we collect specialized information required for modern automation:

  • Website Enquiries: Name, email, phone, and IP address via online forms.
  • Statutory Tax Data: National Insurance numbers, UTRs, tax codes, and references.
  • E-commerce Channel Data: Transaction summaries, sales, refunds, and tax data from platforms including Amazon, eBay, Shopify, TikTok Shop, Square, Etsy, and Walmart (processed via Link My Books and Synder).
  • Automated Document Capture: Digital data extracted from invoices, receipts, and bank statements via AI-powered OCR technology (processed via AutoEntry, Dext, and Hubdoc).
  • Electronic Signatures: Identification data and audit trails for digital signing (processed via Dropbox Sign).
  • AML/KYC Compliance: Identity documents (passports, driving licenses) and sanctions screening via the AMLCC platform.


How We Use Your Personal Data

We process your data for the following specific purposes:

  • Tax & Accounting: Preparing Self-Assessments, VAT returns, and CT600 Corporation Tax filings.
  • E-commerce Reconciliation: Integrating online sales data with accounting systems for accurate tax reporting.
  • Bookkeeping Automation: Utilizing AI-driven tools to capture and categorize financial documents with up to 99% accuracy.
  • Payroll Services: Generating payslips and submitting Real Time Information (RTI) to HMRC.

We rely on the following legal grounds under UK GDPR:

  • Legal obligation: Mandatory HMRC filings and Money Laundering Regulations 2017 (MLR 2017).
  • Contract: Performance of our professional services agreement.
  • Legitimate interests: Fraud prevention, service improvement, and security monitoring.
  • Consent: For marketing updates (which can be withdrawn at any time).


Sharing Your Data (Recipients)

We share personal data only with authorized Processors bound by strict Data Processing Agreements (DPAs) under Article 28 UK GDPR. We never sell your data.

  • Public Authorities: HMRC and Companies House.
  • Accounting Software: Xero and QuickBooks.
  • Automation & OCR: Dext Software Limited, AutoEntry (by Sage), Hubdoc, and Synder.
  • E-commerce Integration: Link My Books (PDLC Tech Ltd).
  • Compliance: AMLCC.
  • Management & Signatures: Bitrix24 (CRM), Dropbox Sign, and Small_PDF.
  • Communication: Google Workspace (Gmail Business).


Artificial Intelligence and Automation

Lidertax Ltd employs AI technology in two distinct capacities:

  • Certified Bookkeeping AI: We use specialized tools (e.g., AutoEntry and Dext) powered by AI and machine learning to extract and categorize financial data. These tools process data within secure, encrypted environments exclusively for accounting purposes.
  • Internal Research AI: General language models (e.g., ChatGPT, Claude.ai, NotebookLM) are used for internal research and document drafting. No client personal data is ever entered into or processed by these general AI models.

Data Retention

  • Tax Records: 6 years plus the current year (6+1) per HMRC requirements.
  • AML Records: 5 years after the client relationship ends.
  • Website Enquiries: 2 years.


How We Keep Your Data Secure

We implement industry-leading technical and organizational measures:

  • Encrypted Hardware: All staff laptops are fully encrypted and password-protected.
  • Physical Port Security: USB ports on employee laptops are disabled, and access to system control panels is restricted to administrators.
  • Network Security: SSL/TLS encryption for data in transit and MFA for all cloud systems.
  • Breach Notification: We will notify you within 72 hours if a high-risk data breach occurs.


Your Rights
